Navigating your Scholarly profile

Navigating Your Scholarly Profile

Your Scholarly profile serves as a virtual hub for your academic and administrative activity. It centralizes your CV data, data imported from your institution and other external sources, and activity that you self-report in Scholarly.

Information from your profile is also integrated with workflows that your institution manages within Scholarly, such as annual evaluations, promotion, tenure, advising, or appointment processes.

šŸ“Œ Note: Your institution may customize the structure and terminology of your profile. This guidance below reflects general patterns but may not match your account exactly.

Accessing Your Profile

You can access your profile in two ways once you're logged in:

  1. Via the Sidebar Menu

    1. Click on the Profile tab located on the far left of your screen.

  2. Via the Top Navigation

    1. Click your name or profile picture in the top-right corner of your screen.

    2. Choose ā€œMy Scholarly Profileā€ from the dropdown.

Exploring Your Profile Structure

Your profile is organized into tabs across the top, with each tab containing sections relevant to specific types of activity, such as Teaching, Research, Service, Mentorship, etc.

šŸ“Œ The structure of your profile—including the tabs and sections—is configured by your institution to align with their preferred CV format. If you have questions or feedback, please contact your faculty affairs team.

Profile Customization & Institutional Controls

Pre-populated Data

To reduce manual data entry, Scholarly has worked with your institution to automatically populate your profile from trusted sources. This typically includes:

  • Institutional Data, populated by internal systems (e.g., course data, appointments)

  • External sources (e.g., ORCID, Google Scholar) for publication data.

šŸ”’ Some data imported on your behalf may not be editable directly within your profile.

Adding, Editing, and Deleting Data

You can update your profile in the following ways:

  • Direct editing: Click the ā€œEditā€ button at the top right of a section to update entries. You can enter information manually or use the AI Paste tool to copy and paste from your CV.

  • Workflow sync: Any activity added or edited within workflows (e.g., Annual Reviews, Promotion submissions) will automatically sync back to your profile.

Who Can See My Profile?

You always have full access to your own profile, but other faculty see a limited version based on your institution’s settings. To preview what others see, search for your name in the search bar at the top of the page, or find your name in the Faculty Directory. This limited view of your profile is what other faculty who are not your department chair or administrator can see.
