Accessing Review Letters and Evaluation Documents

If your institution shares formal letters or documents related to your annual review, promotion and tenure, or other evaluation processes through Scholarly, you can view them directly in the platform once they are released.

This article explains how to find and access those materials.

Accessing Review Letters from your Dashboard

If your review cycle is currently open (or has not yet been archived), you’ll see the review cycle on your Dashboard, with access to the relevant document.

  1. Log into Scholarly

  2. Click into the task.

  3. The document will be visible in the first section or attached as a downloadable file.

  4. Follow any prompts to acknowledge or proceed with next steps, if required.

Types of Documents You May See

Institutions can share a variety of materials through Scholarly. Common examples include:

  • Outcome letters from a completed evaluations

  • Chair or committee summaries of your performance

  • Department or provost-level memos

  • Uploaded PDFs or formal attachments related to your case

The titles and document types may vary, but they will be clearly labeled when posted.

Downloading or Saving a Copy

When viewing a document:

  • Use the Download button (if available), or

  • Right-click and choose “Print” or “Save as PDF” to keep a local copy

What If I Don’t See a Letter?

Letters and documents only appear in Scholarly after they’ve been finalized and released by your institution. If you believe a letter should be available but don’t see one:

  • Confirm you’ve selected the correct evaluation cycle

  • Check your Dashboard for related tasks

  • Reach out to your Scholarly administrator or faculty affairs contact listed on your homepage

📌 Note: Access to letters and documents are configured by institutional administrators. If your institution does not release specific documents, you will not be able to access them in Scholarly.
