Some institutions use Scholarly to collect external reviewer nominations as part of the promotion and tenure process or other major faculty evaluations. If your institution has enabled this feature, you’ll be prompted to submit reviewer names during a specific stage in your workflow.

📍 Where to Access External Reviewer Information
If you are required to nominate external reviewers for a promotion or review cycle, an External Reviewers page will be available to you in Scholarly. This page allows you to view, add, and edit your nominations for a particular cycle.
There are two ways to access the External Reviewers page, depending on your institution’s setup:
Option 1: From Your Dashboard
Log into Scholarly.
Look for a task labeled “Nominate Reviewers” on your Dashboard.
Click the task to open the External Reviewers page.
Option 2: From the Promotion & Tenure Tab
Click “Promotions” in the left-hand menu.
Find the relevant promotion application cycle.
Select “View External Reviewers.”
How to Add External Reviewers
On the External Reviewers page, click “Nominate External Reviewer.”
A form will appear. Enter the requested information for the reviewer.
Click “Nominate” to save and submit the nomination.
You may repeat this process to add multiple reviewers, depending on your institution’s requirements.
How to Edit a Reviewer Nomination
If the nomination deadline has not passed, you can make edits to an existing nomination:
Locate the reviewer on your External Reviewers page.
Click the three-dot menu on the right-hand side of the nomination.
Select “Edit External Reviewer.”
Make your changes in the form, then click “Update” to save.
What Information Will I Be Asked to Provide?
While requirements vary by institution, you’ll typically be asked to provide:
Reviewer’s full name
Title and institutional affiliation
Email address
A brief rationale for why the reviewer is a good fit (if applicable)
Any known conflicts of interest (if required)
The number of reviewers you are allowed or required to nominate will be clearly displayed on both your Dashboard and the External Reviewers page.
💾 Saving and Submitting
Your progress is saved automatically as you work - each External Reviewer nomination will be submitted as you enter them. There is no need to submit all of your nominations at once.
You can return to the form and make edits up until the nomination deadline.
Once submitted, your nominations will move forward in your institution’s workflow (e.g., for review by a chair, committee, or academic affairs office).

What if I don’t see a task for nominating reviewers?
Not all institutions use Scholarly for reviewer nominations. If you believe you should be completing this task and don’t see it on your Dashboard, reach out to your institution’s Scholarly contact.
Will I be notified when reviewers are confirmed?
This will be a setting established by your institution, but Scholarly generally does not notify faculty when reviewers are contacted or confirmed. If your institution shares updates, those will be communicated separately.
